The Case For Law Firm Standard Operating Procedures

I recently gave a presentation on the benefits of law firms developing standard operating procedures. Why is this important? Did you know that for most firms less than 35% of their process are effectively documented (complete, consistent, detailed, up-to-date).

What is the cost to the firm? 1) When employees leave, firm and client knowledge walks right out the door. 2) Digital transformation is less effective as business rules are not correctly automated. 3) The client questions what is happening when information/services delivered are inconsistent. 4) Firm expenses are higher than necessary as rework to fix mistakes occurs. 5) Risk of non-compliance (client guidelines, regulatory) is increased. 6) AFAs can be less profitable as billable hours are capped.

The answer? Development of standard operating procedures will allow a process to be discussed, documented, improved, followed consistently, trained on, easily updated, version controlled, and approved. By moving knowledge forward in a process realization can also be improved. In addition, SOPs improve communication with clients and internally.

SOPs can be developed with or without flowcharts (text only). A common firm look, banner, and feel (brand) can be incorporated. Video clips and links to supporting forms and templates can be added. The level of detail necessary depends on the process and your goals.
